How to test invoice emails and PDF attachments
Send the invoice to yourprefix+invoice@in.demopost.net, open the delivered message and compare the PDF against the record that produced it. Invoice mail is where a “sent” status is least useful: the message can go out perfectly while the attachment is missing, the total is rounded wrong or the payment link points at staging.
Set up one invoice test user
- 1Create a customer record in your test environment with a synthetic company name and a DemoPost address such as yourapp+invoice@in.demopost.net.
- 2Give it the ingredients that break things: a discount line, a VAT rate, a non-round amount and a long company name.
- 3Generate the invoice through your application, exactly as an operator would.
- 4Open the received message in DemoPost and preview or download the attached PDF.
Checklist for an invoice email
Recipient and reference
- The message arrived at the billing address of the correct test customer, including the reference after the plus sign.
- Only one copy was sent; regenerating the invoice did not fan out duplicates.
- Any BCC or accounting copy behaves as configured for that environment.
Subject and body
- The subject contains the invoice number in the format your customers expect.
- Company name, contact name and address in the body match the record.
- The due date and payment term are consistent with the terms on the document.
- No placeholder text, untranslated keys or empty merge fields.
Document
- The PDF is attached, opens without a warning and has a recognisable filename.
- The invoice number on the document equals the one in the subject and body.
- Line items, subtotal, VAT rate and total add up, and the currency is correct.
- Rounding is consistent between the body of the email and the document.
- The file stays within the 10 MB per-attachment limit of your plan.
Links
- The payment link points at the correct environment and the correct invoice.
- A “view online” link resolves for the intended user and not for an unrelated one.
- Links still work after a second run of the flow.
Limits of this check
What stays your responsibility
- Inspection is manual. DemoPost does not parse the PDF, does not validate totals and does not flag an incorrect VAT rate.
- Accounting correctness is not verified. Matching your invoice to local invoicing requirements is a legal and financial review, not an inbox check.
- Deliverability is not verified. Receiving the invoice here says nothing about placement at a customer's mail provider.
- Attachments count against your plan: 500 MB of storage and 2 GB of downloads per billing period, with messages removed after 30 days.
